Aya House @ MotorCity Mimosa: Booking Terms and Conditions

Welcome to Aya House at MotorCity Mimosa! We are delighted that you are considering hosting your event with us. By choosing to  book with our venue, agree to the following booking terms and conditions:

​

 

Booking Confirmation

Deposit: A non-refundable deposit of 50% of the total event cost is required to confirm your booking. This deposit secures your event date and time. Your date is not secure until payment is received. This policy supersedes any verbal or other written agreement.

Balance Payment: The remaining balance is due 14 days prior to the event date.

Event Details

Event Duration: The standard booking includes up to 6 hours of event time. Additional hours can be arranged at an extra cost.

Setup and Cleanup: Clients are allowed 2 hours for setup before the event and 1 hour for cleanup after the event. Additional setup or cleanup time can be arranged in advance at an additional cost.

Guest Count and Final Details

Guest Count: The final guest count and event details (including menu selections, layout, and special requirements) must be confirmed no later than 3 days prior to the event.

Changes: Any changes to the guest count or event details after this period may incur an additional charge of $75. This fee is waived for 501(c)3 nonprofit clients.

Food and Beverage

In-House Catering: All food and beverages must be provided by Aya House, except with prior written approval.

Outside Catering: Outside food and beverages are subject to an additional service fee of $500. This fee is $250 for 501(c)3 nonprofit clients. This fee can be waived if venue rental fee is paid in full at booking.

Special Dietary Requirements: Please inform us of any special dietary requirements at least 7 days prior to the event.

Alcohol Service

Licensed Premises: Clients may bring their own alcohol with prior written approval. Clients must comply with all local laws and regulations regarding the service and consumption of alcohol. Clients are responsible for obtaining any necessary permits or licenses.

Service Policy: Alcohol will be served only to guests aged 21 and over. We reserve the right to refuse service to any guest who appears intoxicated.

Decorations and Setup

Approval Required: If you are not utilizing our in-house event planning and decor services, all decorations and setup plans must be approved by Aya House management. Certain decorations, such as open flames, confetti, glitter, and adhesives, are prohibited.

Responsibility: Clients are responsible for the setup and removal of all decorations and personal items. Aya House is not responsible for any loss or damage to decorations or personal items.

Music and Entertainment

Noise Levels: All music and entertainment must comply with local noise regulations. Aya House reserves the right to control the volume of all entertainment.

Licensing: Clients are responsible for obtaining any necessary licenses for live music or other entertainment.

​

 

Liability and Damage

Client Responsibility: Clients are responsible for any damage to the venue caused by their guests, vendors, or agents. A damage deposit may be required for certain events.

Insurance: Aya House recommends that clients obtain event insurance to cover any potential liabilities.

Vendor Policies

Preferred Vendors: We have a list of preferred vendors who are familiar with our venue. Clients may use other vendors with prior approval.

Vendor Coordination: All vendor deliveries and pickups must be scheduled and coordinated with Aya House management.

Compliance

Laws and Regulations: Clients and their guests must comply with all local laws and regulations, as well as any venue-specific rules provided by Aya House management.

​

 

Cancellation & Refund Policy

Cancellations: Cancellations made at least 30 days before the event will receive a full refund of the deposit. Cancellations made within 30 days of the event will forfeit the deposit. Cancellations made within 7 days will be billed for 75% of the original amount. Cancellations made within 3 days will be billed for up to 100% of the original booked amount. At our discretion, events that are rescheduled may transfer the deposit to the new date. Cancellations must be made in writing to ayahouse@motorcitymimosa.com.

Remaining Balance Policy

By signing the agreement, you authorize the venue to use your card on file to charge the remaining balance 72 hours before your event date.

​
